Supplier invoices in NetSuite,
checked against the item receipt
Accounts payable automation for NetSuite with an AI agent: Lleverage reads supplier invoices from the finance inbox, checks every line against the purchase order and the item receipt in Oracle NetSuite, and creates the vendor bill when they agree. A short delivery or a price change waits for finance with the difference named. Releasing a payment stays with a person.
How accounts payable automation works in NetSuite
In NetSuite a supplier invoice for goods belongs to a purchase order, and the warehouse records an item receipt against that order when the goods arrive. Someone in AP opens the order, clicks Bill and compares the lines by eye. The agent does that work in 4 steps, in the same records your team uses. Why it needs no templates to read the invoice is in our post on template-free AI vs OCR.
Read the invoice and find the vendor record
A PDF, a scan or a forwarded email reaches the finance inbox. The agent reads the vendor, the invoice number, the order reference, the tax and every line, each with a confidence, and ties the invoice to the vendor record and the subsidiary it bills in NetSuite.
Find the purchase order and its item receipts
Each invoice line is tied to its purchase order line and to the item receipts recorded against it. When the warehouse received part of a line, the agent compares the invoice with what came in so far, and a line nobody has received yet is held back.
Check price, quantity, terms and location
Rate against the order, quantity against the item receipt, payment terms and location against the order, and the currency against the vendor record. You set the tolerance per supplier or category, and each check gives its own answer.
Create the vendor bill for what agrees
Inside your tolerances the vendor bill is created in NetSuite from the purchase order, each line pointing at the order line it settles, with the supplier’s invoice number as the reference. Outside them no bill is created, and the person you choose gets the difference with all three documents.
Vendor bills in NetSuite the day the invoice lands.
Supplier invoices are checked against the purchase order and the item receipt, and the clean ones become vendor bills in NetSuite the day they arrive, so payables are current and bills are ready for the payment run. Your AP team only opens the invoices where something really differs.

What the agent checks before a vendor bill exists in NetSuite
Rate, quantity received, terms and location are each checked against the purchase order and the item receipt in NetSuite, with a tolerance you set. Invoices inside it become vendor bills on their own, and anything outside it waits in finance with the order and the receipt open.

NetSuite Bill Capture or Lleverage: which fits when?
NetSuite handles supplier invoices with Bill Capture, which turns bill files into vendor bills, and with the 3 Way Match Vendor Bill Approval workflow in its Approvals Workflow SuiteApp. We read the NetSuite Help Center, netsuite.com and the Lleverage docs on 30 October 2026.
| NetSuite on its own | Lleverage | |
|---|---|---|
| Inside NetSuite | Stronger here. Bill Capture runs in NetSuite itself: files land on the Scanned Vendor Bills page, the review page shows the file beside the bill, and with a linked purchase order its preferences can create the bill without a review. | Works in NetSuite through its own interfaces, and NetSuite stays the system of record. A reviewer sees each field light up in the invoice PDF beside the request. |
| Where it is offered | Bill Capture is available only in the United States. | Yes: for subsidiaries in Europe as well, EU hosted by default and GDPR compliant. |
| Files it takes | PDF, JPEG or PNG, one bill per file. A PDF may have 30 pages and a file 8 MB. An email carries at most 20 attachments and 10 MB. | Yes: PDFs, scans and forwarded emails in any layout, picked up from the finance inbox your suppliers already write to, as they arrive. |
| Reading the invoice | Extracts the values with Oracle Cloud Infrastructure Document Understanding and learns from corrections. The vendor is matched on the name, logo and address on the bill. | Yes: reads on meaning with a confidence on every field. Below the line you set, a person decides, and only you move that line. |
| Purchase order and item receipt | The 3 Way Match workflow checks terms, location, quantity and amount against the order and quantity against the item receipt. Oracle lists partially received item receipts as not supported. | Yes: every line against the order line and the item receipts, partial deliveries included, with price and quantity tolerances per supplier or category. |
| Who settles a variance | A bill with a discrepancy is routed to the bill creator’s supervisor for review and approval in NetSuite. | Yes: the buyer or the warehouse gets a card in Teams, Slack or the inbox with the invoice, the order and the receipt, and the agent carries on with the answer. |
| Getting it running | Bill Capture is an add-on module. It needs A/P, File Cabinet, custom records and SuiteScript switched on, and the 3 Way Match workflow ships as Not Running until someone releases it. | Yes: forward deployed engineers set it up beside your finance team, and the first process typically runs supervised within a few weeks. |
| Getting better | Learns vendor preferences from earlier bills and from the corrections your team makes on the review page. | Yes: Skills improve from your team’s ratings, with a person approving each change, and a clerk can talk an exception through with the agent on a live call. |
| Fits best when | Your subsidiaries are in the United States and AP reviews each scanned bill before it is created. | Subsidiaries sit in Europe or goods arrive in parts, and the clean invoices should become vendor bills without anyone opening them. |
We think Bill Capture is a sound start for a US subsidiary whose AP team reviews every bill anyway: it sits inside NetSuite and needs no other system. We think Lleverage fits when your subsidiaries are in Europe, or when goods arrive in several deliveries and each invoice line has to agree with what was received. More on three-way matching and on how our agents connect to your ERP.
Our engineers set it up with you.
It takes on more of the invoice run as it learns.
Forward deployed engineers match the first invoices beside your finance team and connect the agent to NetSuite, so the first invoices come off the desk within a few weeks. From there it automates gradually: every correction teaches it your vendors, your subsidiaries and your tolerances, and fewer invoices need a person to look.
They work inside your operation. They agree tolerances and cost centres with your controller, set the confidence line together, and stay on through audits and NetSuite releases.
The finance inbox, the tolerances, the checks and the log are yours to configure. Our documentation and support sit behind your team, and an engineer is a call away whenever you want one.
Talk to us about either ↗Frequently asked questions
Does NetSuite have AP automation?
Yes, in parts. Bill Capture is an add-on module that reads bill files into vendor bills, the Approvals Workflow SuiteApp adds a 3 Way Match approval workflow, and Intelligent Payment Automation pays vendors through BILL from US bank accounts. Bill Capture itself is offered only in the United States, so a subsidiary in Europe needs another way in.
Can NetSuite do 3-way matching?
Yes. The 3 Way Match Vendor Bill Approval workflow compares a vendor bill with its purchase order and item receipt, applies quantity and amount tolerances, and routes a bill with a discrepancy to the creator’s supervisor. Partially received item receipts are not supported. The Lleverage agent checks each line against every receipt recorded on it before any bill exists.
How does Lleverage connect to NetSuite?
NetSuite is one of the ERPs on our integrations page. The agent fills the same fields your AP clerk fills, through NetSuite’s own interfaces, so NetSuite validates every vendor bill as usual. NetSuite exposes vendor bills to its REST web services. The connection can be limited to the actions the job needs, with approval on the ones you choose.
Can we keep Bill Capture and SuiteApprovals?
Yes. A US subsidiary can go on scanning its expense bills with Bill Capture, while the agent takes the invoices that belong to purchase orders in every subsidiary. Your approval rules in NetSuite stay in place, and our engineers agree with your controller which invoices go which way.
What happens to invoices without a purchase order?
Freight, rent and service invoices often have no order behind them. The agent then checks the vendor record, the subsidiary, the currency and the expense account your rules give that vendor, and asks the approver your rules name, by amount and category. NetSuite gets no vendor bill until that person has answered.
