In Exact Online a sales order is a header with the customer who ordered, a delivery address, your customer’s reference and a set of lines. The agent fills in exactly those, from the order your customer sent, in 4 steps.
An order email, a PDF purchase order or a spreadsheet arrives in the shared inbox. The agent pulls out who ordered, where it goes, the requested delivery date, the customer’s own order number and every line.
The sender is matched to the account in Exact Online that becomes Ordered by, the address to Deliver to, and each line to an item code. A description it cannot tie to one item is held, not guessed.
Each line is compared with the price Exact Online holds for that customer, and the quantity with the stock in the warehouse the order ships from, before anything is written. Credit status is checked too.
The sales order is created in Exact Online with the customer’s number in Your ref., so your desk finds it the way it always has. It starts as Open, and the confirmation goes back to the customer.
Today someone opens each order email, keeps the PDF on one screen and Exact Online on the other, and copies it line by line. Once the agent does that, the warehouse sees open sales orders sooner, customers hear back faster, and your people keep the orders that need judgement.

Item codes, price, stock in the warehouse and credit are checked against Exact Online before anything is written, and each check has its own setting. Orders that pass become open sales orders on their own. The rest wait for the person you choose, with the reason attached.
Exact Online has no built-in AI that reads a customer’s order. What it offers is manual entry, file import, sales order approval and an API. Exact describes its AI Assistant as a conversational helper: it guides you to the right place in Exact Online, answers how-to questions, sends notifications about deviations and adds customer information. Reading incoming orders is not on that list (exact.com, read 6 October 2026). That is the work the Lleverage agent takes off the desk.
Customers who already send EDI can keep doing so. We think EDI is rarely worth setting up for the many customers who order by email: the agent reads their PDFs, spreadsheets and plain emails and creates the same sales order in Exact Online. More on EDI and email orders.
The order is not created with a guess. The agent holds that order or line for the person you choose and attaches the reason, for example a customer part number that matches no item in Exact Online. Every correction your desk makes is kept, so the same number resolves on that customer’s next order.
The agent writes into Exact Online the way a person would: it fills the same fields your team fills, and Exact checks them the same way. Exact stays the system of record and nothing is copied into a second database. Lleverage is EU hosted by default. More on integrations.
