Exact Online Scan en Herken is the scanning service built into Exact Online: it reads PDF and photographed purchase invoices and turns them into entry proposals coded to a supplier, VAT code and general ledger account. We think it suits cost invoices that go straight to the ledger. Lleverage fits when invoices must match orders and receipts first.

What is Scan en Herken in Exact Online?

Scan & Herken, Dutch for scan and recognise, is Exact’s Dutch name for the Scanning service in Exact Online, now part of what Exact calls automatic invoice processing. You send it a purchase invoice or a receipt, by upload, by email to your Digital postbox or from the Exact Online App, and it comes back as an entry proposal: a draft entry with the supplier, the VAT code and the general ledger account filled in.

Exact describes 2 steps behind it. Scan & Herken software reads the text on the document with OCR. Then the Purchase Agent, Exact’s AI agent for purchase invoices, interprets that text on the basis of your earlier entries and settings. Exact says the agent recognises discrepancies and suggests the right general ledger account with 98% accuracy. E-invoices that arrive through Peppol or as XML need no OCR: they come in complete and become entry proposals automatically.

What does Scan en Herken do, and where does it stop?

Its strength is bookkeeping for invoices that go straight to cost. On the Purchase overview, each entry proposal shows whether it is ready or needs attention. Exact flags a supplier whose details differ from the account (Check master data), a supplier it does not know and creates for you (Check new account), and an amount that differs significantly from that supplier’s usual invoices. Per supplier you can switch on Automatically create entries for complete entry proposals, so the energy bill or the monthly lease is booked without anyone opening it. Approval flows decide who signs off on what, and extra approvers take part at no charge.

The limits are on the same pages. The Scanning service takes PDF, TIFF and JPG files with typed text, up to 15 MB and 150 pages, at 300 dpi, with one invoice per page. Handwritten text is not supported, and anything that is not an invoice or a receipt, such as a quotation or a reminder, is rejected. Linking an invoice to a purchase order is a step for the reviewer, who selects the order in the Invoices to be received pop-up. A check against the goods received is not described. Exact Support says the subscription covers 3 entry proposals a month, with bundles for more. Users of Exact for Wholesale Distribution, Manufacturing or Professional Services need the automatic invoice processing module, and XML invoices are charged as scans too.

How is Lleverage different?

Lleverage is an AI agent for the whole accounts payable run next to Exact, from the finance inbox to the booking. It reads supplier invoices as they arrive, in whatever layout the supplier uses, and also the XML file, the nightly CSV on a share and the supplier portal with a login. It checks every line against the purchase order you raised and the goods you received, and books the invoices inside your tolerances on its own. It fills the same fields your team fills, so Exact checks them the same way.

The checks are yours to set: price and quantity differences per supplier or category, and a separate answer for the order, the receipt, the cost centre and the bank details. What falls outside them goes to the colleague who can settle it, in Teams, Slack or the inbox, with the invoice, the order and the receipt attached. Releasing a payment is never the agent’s call. Every correction your team makes teaches it your suppliers and your tolerances, so fewer invoices need a person to look. More on the AP automation page and in Control, which covers approvals, permissions and the audit trail.

When is Scan en Herken enough?

We think Exact’s own service is the right choice if most of your purchase invoices are costs without a purchase order: rent, energy, software, the accountant. The same suppliers send them every month, a person glances at the proposal or lets it book itself, and the Purchase Agent learns the ledger accounts from your earlier entries. If your suppliers already send e-invoices through Peppol, even less is left to do, and the bank link, the payments and the matching of bank lines stay in the same system.

It is also the cheaper start. The service comes with Exact Online, 3 entry proposals a month are in the subscription, and bundles add more as volume grows. If your invoice run looks like that, start there.

When do you need more than Scan en Herken?

We think an AI agent like Lleverage is the better fit in these cases:

  • Most invoices belong to a purchase order, and each line should be checked against the order and the goods received before it is booked, rather than linked by hand in a pop-up.
  • A short delivery or a price that moved needs a buyer or the warehouse, people who do not work in the Purchase overview of Exact Online.
  • Invoices arrive as a CSV export, through a supplier portal with a login, or as several invoices in one scan.
  • The volume runs well past the bundles, and you would rather pay one monthly price per agent than count scans.
  • Part of the group runs Exact Globe on its own server, which Exact’s pages for the Scanning service do not describe.

Our guide to three-way matching covers the checks line by line, and our post on template-free AI vs OCR for invoice data capture explains why reading without templates matters when a supplier changes its layout.

Frequently asked questions

What is Scan en Herken in Exact Online?

It is the Scanning service in Exact Online, now part of automatic invoice processing. A purchase invoice or receipt you upload, email to your Digital postbox or send from the Exact Online App is read with OCR, and the Purchase Agent turns it into an entry proposal with the supplier, VAT code and general ledger account filled in.

What does Exact Online Scan en Herken cost?

Exact Support says the subscription includes 3 entry proposals a month, and you buy bundles for more under My subscription. XML invoices are charged as scans too. Users of Exact for Wholesale Distribution, Manufacturing or Professional Services need the automatic invoice processing module. Lleverage is one monthly price per agent, with integration included.

Does Scan en Herken match invoices to purchase orders?

Not on its own, as Exact describes it. When an invoice relates to a purchase order, the person reviewing the entry proposal selects the order in the Invoices to be received pop-up. A check against the goods received is not described on Exact’s pages. Lleverage checks every line against the order and the receipt before booking.

Which files can the Exact Online Scanning service read?

PDF, TIFF and JPG files with typed text, up to 15 MB and 150 pages, ideally at 300 dpi and in black and white or greyscale. Put one invoice on each page. Handwriting is not supported, and documents other than invoices and receipts are rejected. Peppol and other XML e-invoices are processed without OCR.

Does Scan en Herken work with Exact Globe?

Exact’s pages describe the Scanning service and automatic invoice processing for Exact Online, and we found nothing about Exact Globe on them. Lleverage works with Exact Online and with Exact Globe on your own server, reached without opening it to the internet. More on how the agent connects on our integrations page.

Can Scan en Herken and Lleverage run side by side?

Yes. We think a sensible split is to let Scan & Herken book the recurring cost invoices and Peppol e-invoices it handles well, and let the Lleverage agent take the invoices that belong to purchase orders and need a check against what was ordered and received. Our engineers agree that split with your finance team.
